Summary:
The Lead Scheduler/Customer Service Representative, performs a range of duties which includes but not limited to:
initiating and answering calls to assist customers in establishing/scheduling, changing, or canceling appointments, ensuring customers have access to property for technician to complete appointments or related services, accurately gathering/recording customer information, preventing double-bookings, routing calls as appropriate, taking messages, responds to all incoming emails and chat messages from customers regarding scheduling appointments and answering broad questions and inquiries, assist with answering and providing guidance to technicians' inquiries.
Perform other related office tasks.
Essential Functions:
Answer incoming customer calls.
Schedule and coordinate all service calls.
Schedule and coordinate all incoming work orders sent by vendors/customers through email and chat message timely.
Provide efficient, friendly, empathetic, and helpful customer service.
Schedule and follow up with subcontractors' regarding appointments.
Follow up with vendors/customers regarding appointments.
Build and manage daily work schedule for technicians.
Maintain Dispatch board throughout the day.
Communicate with technicians throughout the day via text or telephone regarding their work status.
Resolve/Mediate customer/vendor complaints.
Collect, review, process & file electronically, inspection reports completed by technicians.
Collaborate with owner of the company regarding projects to schedule and support as needed.
Perform general office duties.
Education/Skills:
High school diploma or equivalent required.
Valid and current State of Hawaii Driver's License.
Excellent/effective verbal and written communication skills.
Excellent customer service and people skills.
Diligence and critical thinking skills.
Basic understanding of geographic areas of O'ahu to facilitate efficient routing.
Knowledge of the plumbing industry and terminology is preferred but not required.
Proficient in using Microsoft Office (Word, Excel, Outlook, etc.
) and/or MacOS software.
Excellent organizational skills with the ability to prioritize tasks and meet deadlines.
Ability to manage multiple tasks simultaneously with minimal supervision.
